Privacy Policy
Effective 28 October 2026
Pilot Compass is a personal self-assessment app for airline pilots. This policy explains what data the app collects, why, where it is kept, who else processes it, and the choices and rights you have. We have tried to keep it short and in plain English.
Who is responsible
Pilot Compass is developed and operated by Ricardo Timóteo, Portugal (“we”, “us”). We are the controller of your personal data under the EU and UK General Data Protection Regulation (GDPR). Contact: support@pilotcompass.app.
What we collect
| Data | Why |
|---|---|
| Account: email address, pilot name, and the sign-in method you use (email and password, Sign in with Apple or Google). With Apple you can choose “Hide My Email”. | To create your account, sign you in, keep your data in sync between devices and send sign-in codes. |
| Profile: total flight hours (optional), rostered flight days and app settings. | For streaks, flight coverage and your preferences. |
| Assessments: for each flight you log, the flight details (date, role, rank, airports, aircraft, duration, sector number), conditions (weather, sky, runway condition, type of approach, turbulence), operational events, landing g, your competency scores, nutrition, rest and crew questions, private notes, optional follow-up answers, and optional phase reflections (which phase of flight stood out, what stood out and your rating). | This is the purpose of the app: your history, progress, reports, badges and Insights. |
| Insights results: the statistics and written insights and airport summaries generated for you, and a usage record (time, token count and cost) of each analysis. | To show Insights quickly without recalculating, and to manage limits and costs. |
| Subscription: whether your subscription or free trial is active, the plan, and its renewal and expiry dates. Payment is handled entirely by Apple; we never see your card or payment details. | To unlock the app while your subscription is active, and to let you restore it on a new device. |
| Questionnaire usage: when an assessment is started, saved as a draft, discarded or submitted, how long it took to complete, the assessment type, and which questions were answered N/A (never your scores, notes or flight details). | To improve the questionnaire, for example to shorten it or reword questions that often do not apply. |
We do not collect your location, contacts or photos. We do not use advertising, tracking or third-party analytics, and we never sell your data.
What stays on your iPhone
- The app keeps a copy of your data on your iPhone so it works offline. Unfinished drafts and sample flights stay only on your iPhone.
- Reminders and landing prompts are local notifications created on your iPhone. There is no push server and no marketing.
- To offer to log a flight after landing, the app notices when your connection returns after Airplane Mode. This check happens on your iPhone only; nothing about it is sent anywhere.
Where your data is stored
Your account and assessments are stored with Supabase, our database and sign-in provider, on servers in the European Union (Ireland). Access is protected so that each pilot can only read their own data.
Insights and Anthropic
Insights and airport briefings are written with the help of Anthropic (Anthropic, PBC, United States), which provides the language model that phrases the statistics. Nothing is sent to Anthropic unless you tap “Allow” on the Flight Analysis screen, and you can turn this off at any time in Settings → Insights. When it is on, each analysis sends:
- statistics calculated from your assessments (averages, differences and how often conditions and events occurred);
- the airport codes you fly;
- short excerpts (up to 200 characters) of private notes and follow-up details from your last 10 flights.
Your name, email address and account identifier are never sent. Under Anthropic’s commercial terms, this data is not used to train their models, and it is deleted from Anthropic’s systems within 30 days (longer only if flagged by their safety systems for a policy violation, or where required by law).
How we use assessment data
Besides providing the app to you, we may export and analyse assessment data to improve Pilot Compass and to understand which conditions relate to pilot performance. Private notes, follow-up details and the words you type in a phase reflection are never included in these exports. Any results we share outside the app will be aggregated so that no individual pilot can be identified.
Legal bases
- Contract: your account, sync and the app’s features.
- Consent: sending data to Anthropic for Insights. You can withdraw it at any time in Settings → Insights; this does not affect analyses made before.
- Legitimate interests: improving the app, analysing assessment data as described above, and keeping the service secure. You can object to this at any time by contacting us.
Who else processes your data
| Provider | Purpose | Location |
|---|---|---|
| Supabase | Database, sign-in, server functions | EU (Ireland) |
| Anthropic | Writing Insights (only with your consent) | United States |
| Google (Gmail) | Sending sign-in and password-reset codes | Global |
| Apple / Google | Sign in with Apple / Google, if you use them | Global |
| Apple | Subscription payments (App Store) | Global |
| RevenueCat | Subscription status, linked to your account id (no name or email) | United States |
Where data is transferred outside the EU or UK, it is protected by the providers’ standard contractual clauses or an equivalent safeguard.
How long we keep data
We keep your data while you have an account. You can delete your account at any time in the app (Settings → Account → Delete Account). Deleting your account does not cancel an App Store subscription; cancel it in your Apple ID settings. This permanently deletes your account, profile, assessments, questionnaire usage records and Insights from our database straight away. Copies may remain in encrypted backups for up to 7 days before they are overwritten. Data already sent to Anthropic is deleted on their side as described above.
Your rights
You can ask us to access, correct, delete or export your data (portability), to restrict or object to its use, and you can withdraw consent at any time. Email support@pilotcompass.app; we will reply within one month. You also have the right to complain to your data protection authority (in Portugal, the Comissão Nacional de Proteção de Dados, www.cnpd.pt).
Security
Data is encrypted in transit (HTTPS) and at rest by our providers. Each pilot’s data is isolated by row-level security, and the key used for Insights is kept on the server, never in the app.
Children
Pilot Compass is meant for professional pilots and is not directed at children under 16.
Not an official record
Pilot Compass is a personal self-assessment tool. It is not an official training, licensing or regulatory record, and its insights don’t replace your operator’s training, SOPs or fitness-to-fly judgement.
Changes
If we change this policy in a way that matters, we will update the date above and tell you in the app. If what is shared for Insights changes, the app will ask for your consent again.
